One of the most common questions building owners and facility managers ask is how often evacuation diagrams need to be updated. The short answer: there is no fixed expiry date, but there are clear trigger events that require immediate updates.
Getting this wrong is one of the most common compliance failures found during fire safety audits.
What Does AS 3745 Say?
Australian Standard AS 3745:2010 does not prescribe a short fixed review period like "every 12 months" or "every 3 years." Instead, it ties updates to changes in the facility or emergency plan, and requires every diagram to carry a validity date (clause 3.5.5(l)). The validity period is nominated by your Emergency Planning Committee (clause 2.2(d)), and FPA Australia guidance says it should not exceed 5 years, though it may be shorter.
The standard requires that evacuation diagrams be reviewed and updated as part of the broader emergency plan review process. In practice, this means diagrams must be current and accurate at all times.
Trigger Events That Require an Update
Your diagrams must be updated whenever any of the following occurs:
- Building renovation or layout change (walls added or removed, new rooms, changed corridors)
- Change in exit routes or emergency exits (door relocated, exit blocked, new exit added)
- Relocation of fire equipment (extinguishers, hose reels, hydrants moved)
- Change in assembly area location
- New tenant fit-out in a shared building
- Installation of new fire systems (sprinklers, alarms, emergency lighting)
- Change in building use or occupancy type
- After a fire safety audit identifies deficiencies
- After an actual emergency reveals issues with current evacuation routes
Best Practice Review Schedule
Even without trigger events, best practice is to review diagrams on a regular schedule:
- Annual review: check that all diagrams are still accurate, undamaged, and properly mounted
- At the validity date (5 years at most): the validity date printed on each diagram (clause 3.5.5(l)) lapses and the set is due for re-issue even if no changes have occurred; most owners replace the set at this point (materials degrade, colours fade, contact numbers change)
- Before each annual evacuation drill: confirm diagrams match the current layout and planned routes
- When the Emergency Planning Committee meets: include diagram review as a standing agenda item
What Happens If Your Diagrams Are Out of Date
Outdated evacuation diagrams are not just a technicality. They create real safety risks and compliance exposure:
- Fire authorities can issue improvement notices or fines during inspections
- Insurance companies may dispute claims if diagrams did not reflect the actual building layout at the time of an incident
- Council development approvals and occupancy certificates may require current diagrams
- WorkSafe inspectors include evacuation diagrams in workplace safety audits

Signs Your Diagrams Need Replacing
Walk through your building and check for these red flags:
- The floor plan does not match the current layout (walls, doors, or rooms have changed)
- Fire equipment shown on the diagram has been moved
- The assembly area has changed but the diagram still shows the old location
- Contact numbers on the diagram are wrong or disconnected
- The diagram is faded, yellowed, or physically damaged
- There is no date on the diagram, or the date is more than 5 years old
- The "You Are Here" marker is in the wrong position (common after diagrams are moved between locations)
The Cost of Not Updating
Replacing diagrams is relatively inexpensive compared to the cost of non-compliance. A single fire authority fine can be several thousand dollars. Insurance disputes after incidents can cost far more.
Most businesses spend A$70 to A$120 per diagram. For a building with 6 to 8 diagram locations, the total cost of a full update is typically A$420 to A$960. That is a small price for compliance and occupant safety.
What Review Interval Does AS 3745 Set?
AS 3745:2010 sets no annual review interval for evacuation diagrams on their own, but it does set an outer limit: every diagram must carry a validity date (clause 3.5.5(l)), the validity period is nominated by the Emergency Planning Committee (clause 2.2(d)), and FPA Australia guidance says that period should not exceed 5 years. Diagrams must also be re-issued sooner whenever the layout, exit routes, or fire equipment locations change. The standard also ties diagrams to the emergency plan, which must be reviewed annually. So most Australian buildings have three clocks running at once: an annual review alongside the emergency plan, immediate re-issue on any change, and the printed validity date even if nothing has changed.
The three clocks do different jobs. The annual review is a check, not a redraw. The change trigger is not on a schedule at all, it fires the day the work is finished. The validity date is the backstop for the drift nobody reported: a door propped open and later sealed, an extinguisher moved during a clean and never put back. And if the building has changed since the date printed on the diagram, the validity date stops mattering. The diagram is already out of date.
What Does a Diagram Review Involve?
A review is a walk-through, not a redraw. You stand in front of each mounted diagram and compare it to the building around you: the You Are Here position, the orientation, the exit routes, the fire equipment locations, the assembly area, and the contact numbers. If everything still matches, record the review and refresh the date on the diagram so there is a paper trail. If anything does not match, the review has just become an update job.
The check at each diagram is short. Allow under an hour for a single small tenancy, and most of a day for a multi-storey building. The AS 3745 audit failures guide covers what an inspector looks for on the same walk.
- Confirm the "You Are Here" marker matches where you are actually standing.
- Check that "up" on the diagram still matches the direction you would walk if you stepped forward from it.
- Trace the primary and alternative exit routes on the plan, then walk one of them.
- Spot-check three equipment symbols against the building. Every symbol should still have a physical unit at that spot.
- Walk to the assembly area shown and confirm it is still accessible, open, and big enough for the building occupancy.
- Measure the mount height. The centre of the diagram belongs between 1,200mm and 1,600mm from the floor.
- Check condition and legibility. A sun-faded diagram fails an inspection even when the content on it is correct.
- Ring the contact numbers printed on the diagram and confirm they still reach someone.
How Long Does an Evacuation Diagram Update Take?
An update from existing plans runs on the same clock as a new set: 3 to 5 business days from the point the provider has your current floor plan and a clear list of what changed, with a first draft back inside that window for you to review. The drafting is rarely what holds an update up. Three things usually do: no current floor plan, no confirmed list of what changed, and slow sign-off on the draft.
- No current plan. If the only plan on file is the one the original diagrams were drawn from and the building has been renovated since, the plan gets rebuilt first. A marked-up PDF, a lease plan, photos of the existing diagram, or a walkthrough video all work as a starting point.
- No confirmed change list. "Something changed on level 2" is not a brief. What moved, where it moved to, and whether any exit or equipment position is affected is what the drafter needs before drawing.
- Slow sign-off. The draft comes back for approval, and every day it sits unreviewed is a day added to the timeline.
Can a Diagram Be Amended, or Does It Need a Full Redraw?
Amend when the change is cosmetic and does not touch the plan itself: a new emergency contact number, a changed building or tenancy name, a corrected legend entry, a refreshed review date. Redraw from the current floor plan when the change touches the layout, an exit route, a fire equipment position, the assembly area, or a You Are Here location, because those are the elements the diagram exists to communicate. The rule that holds up in an audit: if the change would alter a line someone follows during an evacuation, it is a redraw.
The part buyers underestimate is how far one change spreads across the set. Each diagram is drawn to the facing direction of its own mount position, so a wall moved in one corridor can change what is shown on every sheet in the set, not just the one nearest the work. Once you are patching more than two or three items, a full re-issue from the current plan usually costs less than the same number of individual amendments, and it leaves the whole building on one dated version instead of a mix of old and edited sheets.
- Amend: contact numbers, building or tenancy name, legend or title block corrections, review date refresh.
- Redraw: walls added or removed, doors sealed or relocated, a new or closed exit, extinguishers, hose reels or manual call points moved, a changed assembly area, or a diagram shifted to a new mount position.
- Re-issue the whole set: more than half the building has changed, the diagrams are past 5 years, or the source files are gone and nobody can edit the existing artwork.
